How to request leave, check your balance, understand half-days, and what happens at each step of the approval flow.

Go to App → Leave to submit a leave request, track its status, or view your leave balance. Employees submit requests directly; managers and HR approve them.

Requesting leave

Navigate to App → Leave and select Request leave.
Choose the leave type (annual, sick, casual, or others configured for your organisation).
Set the start date and end date.
If the first or last day is a partial day, select whether it's a first-half or second-half day. You can set this independently for the start and end dates.
Add a description if required. Some leave types may make this mandatory.
Attach a supporting document if relevant (for example, a medical certificate for extended sick leave). Attachments are optional unless your HR policy requires them.
Submit the request. It moves to requested status and your manager or HR is notified.

Day count is calculated on the server

The number of leave days is computed by Heimdallone based on your working calendar — non-working days and public holidays are excluded automatically. The preview in the form is for guidance; the server's count is what's deducted from your balance. See Leave rules & day counting for how this works.

Half-days

Select first half or second half on the start or end date of your request to take only part of a day. You can combine these — for example, a request from Monday afternoon to Wednesday morning counts as two full days and two half-days, with the total calculated against your working schedule.

Checking your balance

Go to App → Leave → Balance to see:

  • Available — the days remaining for each leave type in the current period.
  • Used — days taken so far this period (approved leave only).
  • Carry-forward — any days carried over from the previous period.
  • Next reset — when the balance resets for the new period.

Pending (not yet approved) requests are shown separately and don't reduce your available balance until the request is approved.

Leave statuses

StatusMeaning
requestedThe request has been submitted and is waiting for a decision.
approvedA manager or HR has approved the request. The days are deducted from your balance.
rejectedThe request was declined. The days are returned to your balance. The rejection may include a reason.
cancelledThe request was cancelled, either by you before approval or by HR after approval. The days are returned to your balance.

Approval flow

Submit the request from App → Leave → Request leave. You can cancel a request while it's still in requested status. If it's already approved, contact HR to cancel it.

Track the status of your requests from the leave list view. You'll receive a notification when the decision is made.

Pending requests from your direct reports appear in your Leave queue. Select a request to review the dates, day count, and any note or attachment. Approve or reject from the request detail. If you reject, you can include a reason.

You can't approve your own leave requests — those go to HR.

You can approve or reject any request across the organisation. You can also cancel approved leave when circumstances change. Leave policies (types, entitlements, carry-forward rules, and accrual) are configured in App → Settings → Leave policies. Changing a policy applies from its effective date only — past approved requests are governed by the policy that was in force at the time of the request.

Leave policies

Leave policies control what leave types exist, how many days employees are entitled to, whether carry-forward is allowed and capped, and how days accrue. Policies are configured by HR and are effective-dated — a policy change doesn't rewrite how previous requests were governed.

What to check

  • Balance looks wrong — check the Used column against your approved requests. If a recently approved or cancelled request hasn't updated the balance, wait a moment and refresh. If the discrepancy persists, contact HR.
  • Request is stuck in "requested" — the request is waiting for your manager or HR to review it. If it's been pending for longer than expected, follow up with your manager directly.
  • Can't request a leave type — your account may not be assigned to a policy that includes that leave type, or the type may not be configured for your organisation. Contact HR.

Troubleshooting

I submitted a request for the wrong dates

Cancel the request from App → Leave while it's still in requested status, then submit a corrected one. If the request is already approved, contact HR to cancel and resubmit.

My available days didn't update after approval

Approved leave deducts from Available. Refresh the page. If the balance still looks wrong, check whether the leave type uses accrual (balance builds up over time) — your entitlement may not have accrued enough days yet. Contact HR to confirm your current entitlement.

I was rejected but no reason was given

The approver may not have included a reason. Contact your manager or HR directly for clarification.

My half-day request shows more or fewer days than expected

The day count is computed from your working calendar, not calendar days. A half-day on a non-working day counts as zero. The leave-day calculation page explains the full logic: Leave rules & day counting.
