Your profile
How to find and update your personal details, what you can change yourself, and which fields are managed by HR or Payroll.
Your profile holds your personal details, work information, and statutory/banking data. Some fields you can update yourself; others are managed by HR or Payroll.
Finding your profile
Go to App → Employees, then open your own record. The URL looks like
/app/employees/$id where $id is your employee record number.
Alternatively, if you were just prompted to review your profile after migrating, the first-login notice takes you there directly.
What you can edit yourself
Employees can review and update the following basics on their own profile:
- Personal details — date of birth, gender, marital status
- Address — home address
- Emergency contact — name, relationship, and phone number
- Contact details — personal phone number (where editable by employee)
Make your changes and save. Changes take effect immediately.
Contact details
Your primary work email is managed by HR or an admin — you can't change it yourself. If it's wrong, let HR know.
Fields managed by HR or Payroll
Some fields affect payroll calculations or require verification. They are restricted or masked for your own protection:
| Field | Who can edit | Notes |
|---|---|---|
| TIN (Tax Identification Number) | HR Admin / Payroll Admin | Affects statutory deductions |
| NIS / Social Security Number | HR Admin / Payroll Admin | Masked for non-payroll roles |
| Dependent children | HR Admin / Payroll Admin | Affects child allowance in payroll |
| Bank account details | HR Admin / Payroll Admin | Masked at API level; encrypted at rest roadmap |
| Employment status | HR Admin | Hire date, job title, department |
| Contract and salary | HR Admin / Payroll Admin | Governs pay calculations |
You can see that these fields exist on your profile, but their values are masked or hidden unless you hold an HR or Payroll Admin role.
Statutory data and pay
Fields like TIN, NIS, and dependent children directly affect what's deducted from your pay. If any of these look wrong (where you can see them), or if a colleague on the right role tells you there's an issue, report it to HR immediately so it can be corrected before the next payroll run.
Reporting incorrect data
If something on your profile is wrong and you can't edit it yourself:
Historical records
If data carried over from the previous system looks wrong — payroll history, leave balances, or attendance records — report it to HR. Historical records are preserved as-is for audit, and corrections are applied going forward through the corrections workflow.
