Create and track employee loans, salary advances, fines, and payroll deductions.
Loans & salary advances
Use the loans page to record money that should be deducted from an employee's future pay, such as a salary advance, staff loan, or fine.
Who can use this
- Payroll admins, HR admins, tenant admins, and tenant owners can create and manage loans and advances.
- Other payroll readers can review loan records when their role allows access.
Creating a salary advance
- Open Payroll → Loans & advances.
- Select Create loan.
- Choose the type, such as Salary advance.
- Search for the employee by name, email, or staff badge/employee number.
- Pick the employee from the dropdown. The selected employee's name and badge are shown before saving.
- Enter the title, total amount, number of installments, installment amount, provided date, and first installment date.
- Select Create.
The employee selector stores the internal employee profile link even when staff search by a visible badge such as HR-EMP-00021. This prevents "employee not found" errors caused by typing the display badge into a field that expects the internal record ID.
Payslip deductions
Active loan and advance installments are included in payroll calculation as deductions for the relevant pay period. The deduction appears on the employee's payslip when the installment date falls inside the pay run window and the loan remains active.
Finding existing records
The list can be searched by:
- Loan or advance title
- Type and status
- Employee first or last name
- Employee badge/ID
Each row shows the employee name and badge alongside the loan dates so payroll staff can confirm the right employee without relying on raw database IDs.
Settling a loan
Settling a loan stops future deductions. Review skipped or pending installments before settling so the employee's payslip history stays accurate.
