Migration & cutover

What data comes across from a legacy system, what users should expect, and how admins verify migrated employees, payslips, attendance, finance, and devices inside Heimdallone.

If your organization is moving from a previous system, its data is brought into Heimdallone before you go live. This page explains what comes across, what to expect, and how to check it in the app.

Migration principle

Legacy data is a source and an intent — not automatic truth. Historical records are preserved exactly; known legacy mistakes are corrected against the official rules (for Guyana payroll, the GRA is the source of truth); nothing is copied blindly.

What users should expect

  • Migrated employees see a one-time welcome notice at first sign-in asking them to review their details — see Your first sign-in.
  • The same password continues to work where sign-in could be carried over safely; otherwise the user is guided through a secure reset/invite. No placeholder emails are ever created — someone with no email simply has no login until HR adds one.
  • Historical payslips look exactly as they did and cannot be edited.

What admins should verify in the app

Employees — everyone is present, in the right department, with the right manager, and statutory details (TIN/NIS/dependents) where needed. Open App → Employees.
Payslips — historical payslips are present and unchanged. Open App → Payroll → Payslips.
Attendance — recent attendance looks right and the biometric device shows a recent successful sync. Open App → Attendance.
Finance — opening balances and the trial balance look sensible. See General ledger.
Logins — check who has access and who is intentionally no-login. Open App → Migration status (HR/admin) — see Migrated logins.

If something looks wrong

  • Don't edit history directly. Historical payslips are immutable; fixes go through an audited correction that records the reason and the exact differences.
  • No-login employee who should have access? Add a real email and invite them — never invent a placeholder address.
  • Finance opening balance looks off? Some legacy entries that didn't balance are intentionally left out; your accountant enters a corrected opening entry rather than Heimdallone fabricating one.
  • For anything that doesn't reconcile, raise it with your administrator before the organization is finalized.
